Privacy Policy
How Sobbe Consulting processes personal data, why, who we share it with and how you can exercise your rights.
Last updated: 5 October 2026
This Privacy Policy explains, in plain language, how your personal data is handled when you visit our website, contact us or use our services.
01Who we are
The controller of your personal data is SOBBE TRADE CONSULTING LTD, trading as Sobbe Consulting ("Sobbe", "we", "us"). We are a company registered in England & Wales under company number 16306332.
Registered office: Office 10323, 321-323 High Road, Chadwell Heath, Essex, England, RM6 6AX, United Kingdom. This is the company's registered office address; it is not a visiting or appointment address.
For any privacy question, email info@sobbeconsulting.com.
02Scope of this policy
This policy covers the sobbeconsulting.com website, your communication with us by WhatsApp and email, and our consultancy and service work. Third-party websites and platforms we link to are governed by their own privacy policies.
If you are in Türkiye, you can also read our KVKK Privacy Notice, which provides information under Turkish Law No. 6698 on the Protection of Personal Data.
03Personal data we process
Information you send us directly
When you contact us by WhatsApp, email or in an online meeting, we process the information you provide:
- Your name and contact details (email address, phone / WhatsApp number)
- Company or business information
- The services you are interested in and your target countries or markets
- The content of your messages and any documents you share
Information needed to deliver a service
When we work together on a service, depending on its nature we may also process:
- Identity details and documents such as ID and proof of address (for company formation, director-related services, applications to authorities or providers, and where identity verification is legally required)
- Company, shareholder and officer information
- Accounting and tax records, financial statements and tax identification numbers
- Trademark and applicant information needed for a trademark application
- Information about marketplace, store and payment accounts that you share for the service
- Proposal, invoicing and payment details
The get-started form on our website
The multi-step form on the Get Started (/en/get-started) page asks for: the service you are interested in, your business stage, target markets, answers about your existing setup (company, bank, Amazon account, Shopify store, trademark, VAT), the request type (quote or consultation), your name, email, phone / WhatsApp, optionally your company name and a short note, and your consent to be contacted.
While you fill in the form, your answers are kept only as a draft in your browser's session storage (sessionStorage). The draft is not sent to us unless you submit the form (see the Cookie Policy).
When you submit the form with “Send request”, the information above and your contact consent (with the version of the notice you agreed to) are sent to our server. We also record the page the request was sent from, only the domain of the site that referred you (not the full address), campaign parameters (UTM) if the link contained them, the time of submission and a request reference. We use this information to assess your request, get back to you about a quote or consultation and follow up on your request.
The submitted request is delivered as a notification to our team's mailbox through Resend, the service provider we use to send email; Resend processes this information to the extent needed to deliver the email. We do not use Resend to send marketing emails. Our website does not store the request in a separate database; the request is kept in our team's mailbox according to the principles in “How long we keep data”. Our server logs contain only technical information such as the request reference and the delivery result, not the content of the request. If sending fails, the form tells you so; in that case email delivery has not been confirmed. Your draft is kept so you can try again.
Sobbe Assistant (AI-powered chat)
The Sobbe Assistant is an AI-powered chat assistant on our pages. The message you type is sent to our server to generate a reply and may be passed from our server to our AI service provider, OpenAI. This may include your current message, recent messages from the same conversation, summary information derived from the conversation such as topic, market and business model, and the page you are on and its language.
We use this information to answer your question and point you to the right service. We do not store or log the conversation text on our server; the conversation is kept only in your browser tab's memory and is deleted when you reload or close the page. Our server logs contain only technical information such as the outcome of a request, not the content of messages. OpenAI processes the information it receives under its own terms and privacy policy.
Please do not enter unnecessary personal or sensitive information in the assistant, such as your name, contact details, identity, bank or payment details, or health information.
An assistant conversation does not create a request and is not passed to the get-started form. When the assistant points you to the Get Started page, the form only opens with a service, market and request type preselected; the conversation text is not transferred, and your request reaches us only when you submit the form yourself. The WhatsApp message the assistant prepares is a draft you can edit, and it reaches us only if you send it via WhatsApp.
Technical information
When you visit the website, your browser sends technical information such as your IP address, browser type and the page requested to the server so the page can be delivered. This information may be logged by our hosting infrastructure for operational and security purposes.
Our website does not use advertising tools or advertising trackers. Analytics is measured only with your permission (see below).
Website analytics (Google Analytics 4)
If you allow analytics, we use Google Analytics 4 to understand how our website is used and to improve it. If you do not, Google Analytics is not loaded and no analytics data is sent to Google; every feature of the site remains available.
With your permission, the usage information that may be processed is: pages viewed and page titles, navigation on the site, the referring site and campaign link parameters (UTM), device, browser and language information, approximate location derived by Google from your IP address (country and city level), and categorical site events such as opening the assistant, switching language, clicking a contact link or the outcome of submitting the get-started form. Google Analytics stores a random identifier in the _ga and _ga_C6HQM4DM2T cookies to distinguish this browser.
Our analytics implementation is designed not to send your name, email address, phone number, company name, form answers, notes or Sobbe Assistant messages to Google Analytics. Google signals and ad personalisation are switched off; we do not use analytics data for advertising.
Google acts as our processor for this service; the data may be processed in the countries where Google processes data, including the United States. Event data in Google Analytics is kept for no longer than 14 months.
You can change your analytics choice or withdraw your permission at any time with the “Cookie preferences” link at the bottom of every page. The Cookie Policy has the details.
Special category data
Unless a service requires it, we do not ask for special category data such as health information, and we ask you not to share it with us.
04Why we process personal data
- To answer your questions and requests
- To assess your needs and prepare proposals and scope
- To deliver the services you request, including preparing applications to authorities, platforms and providers on your behalf or with you
- To manage our client relationship, invoicing and service administration
- To meet accounting, tax and other legal record-keeping obligations
- To verify identity where the law requires it
- To operate and secure the website and prevent misuse
- With your permission, to measure how the website is used and improve it
- To establish, exercise or defend legal claims
05Our legal bases
As a UK company, we process personal data under UK data protection law (the UK GDPR and the Data Protection Act 2018). The legal bases we rely on are:
- Contract: to perform our service agreement with you, or to take steps at your request before entering into one (for example, preparing a proposal)
- Legal obligation: legal duties such as accounting, tax and identity verification
- Legitimate interests: responding to enquiries, managing our client relationships, securing the website and protecting our legal rights, balanced against your rights and freedoms
- Consent: where we ask for your consent to a specific use (for example, website analytics with Google Analytics); you can withdraw it at any time
07Independent third parties
Authorities, marketplaces, e-commerce platforms, banks and payment providers are independent organisations. They process the data they receive under their own privacy policies and legal obligations, and are responsible for that processing.
Sobbe is not their representative; application, verification and approval decisions are theirs.
08International transfers
Sobbe is based in the United Kingdom, and our clients and the authorities and providers we work with may be in other countries. Depending on the service, your personal data may therefore be processed in or transferred to the United Kingdom, the European Union, the United States, Türkiye and other countries.
Where personal data is transferred internationally, the legal mechanism depends on the destination and the circumstances. Under UK data protection law, this may be UK adequacy regulations, appropriate safeguards or, where applicable, another transfer mechanism or exception permitted by law. If you would like information about the mechanism relevant to a particular transfer, contact us at info@sobbeconsulting.com.
09How long we keep data
We keep personal data only for as long as needed for the purpose it was collected for. Enquiries that do not lead to an engagement are kept for as long as needed to handle the enquiry and a reasonable follow-up period.
Client records are kept for the duration of our relationship and afterwards for the periods required by accounting, tax, company and other laws, and for as long as needed for possible legal claims. After that, we delete, destroy or anonymise the data.
10Security
We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss and misuse, and limit access to those who need it. No method of transmission or storage over the internet is entirely free of risk; when you need to share sensitive documents, we agree a suitable method with you.
11Your rights
Depending on the applicable law, you have the right to:
- Access your personal data and request a copy
- Ask us to correct inaccurate or incomplete data
- Ask us to erase data or restrict processing in certain circumstances
- Object to processing based on legitimate interests
- Ask for data portability in certain circumstances
- Withdraw consent at any time where processing is based on consent
Requests and complaints
To exercise your rights, email info@sobbeconsulting.com. We may need to verify your identity before responding. We respond within the legal time limits, normally within one month.
You have the right to complain to the UK supervisory authority, the Information Commissioner's Office (ICO, ico.org.uk). If you are in the European Union, you can contact the data protection authority in your country. Your rights in Türkiye are explained in the KVKK Privacy Notice. We would welcome the chance to address your concern first.
12Automated decision-making
We do not use your personal data to make automated decisions that have legal or similarly significant effects on you, or to build profiles.
13Children
Our services are intended for businesses and people aged 18 or over. We do not knowingly collect personal data from anyone under 18.
14Changes to this policy
We may update this policy when our services, the technologies used on our website or the law change. The current version is always published on this page with an updated date at the top.
